Your enquiry
We use the contact details, property information, preferences and photographs you supply to assess your project and reply to you. Your own budget is kept separate from any indicative price calculation. A saved estimate records the rule version and assumptions in force when you submit. Enquiring does not subscribe you to marketing.
Referral programme
If a customer names someone who recommended Aethos, we store that person’s name and email address with the customer’s confirmation of permission and the applicable referral terms. We use this information to check eligibility, prevent duplicate claims and arrange the £100 reward. The protected referral register holds completion dates, payment dates and payment references. We do not collect bank details in public enquiry forms or subscribe either person to marketing. Records are retained while needed to administer the reward and meet accounting or legal obligations. Saving a draft
Choosing Continue or Save stores your draft in our database for up to 24 hours. An essential secure cookie, inaccessible to browser scripts, lets this browser resume it. We do not put your personal details in new planner URLs or store the brief in browser local storage. Draft access ends when the cookie or draft expires.
Campaign measurement
If you arrive through an advert or tagged link, we keep a limited record of your first visit in session storage for this browser tab: campaign source, medium, campaign, term, content and Google click identifier when supplied. These values can accompany a submitted brief so we can understand which campaigns generate enquiries. We also record activity on our own site for enquiry, phone and WhatsApp actions without including personal details. We do not send names, contact details, postcodes, project text or photographs in analytics events. Session attribution ends when the browser session ends.
Private photographs
Photographs are optional and require your permission to share. Please avoid faces, documents, alarm codes and other confidential information. We resize uploaded images and remove embedded image metadata. They are stored privately with Vercel Blob, not published as project evidence. Aethos can view them to assess your enquiry. Draft photographs can be removed before submission.
Retention
Abandoned draft access expires after 24 hours. Submitted enquiry photographs are assigned a retention period of 180 days. Expired images are unavailable through the application. Deletion is handled in bounded batches by authenticated scheduled cleanup when configured on the published site, or through the owner’s retention controls. Expired guest draft details are cleared during cleanup. Failed storage deletions remain queued for a later attempt; source photographs needed by unresolved AI requests are retained until the request is reconciled. Other enquiry and project records are retained while relevant to the enquiry, agreed project or legal obligations. Contact us if you would like access, correction or deletion.
Service providers
Enquiry information is stored in Neon Postgres; private images are stored in Vercel Blob. Resend processes transactional enquiry and appointment emails. These providers process information to operate the service. Notification emails link to protected enquiry records rather than exposing private image URLs. Provider acceptance of an email is not a guarantee of inbox delivery.
Google Maps
The embedded map is optional. We do not request it until you choose Load Google map. Loading it connects your browser to Google, which receives connection information such as your IP address and may use cookies under its own privacy policy at https://policies.google.com/privacy. Closing the map removes it from this page but does not undo information already sent or remove Google cookies. You can use the separate Google Maps link instead; opening that link also connects to Google. We do not request your device location.
Consultations
A preferred time or consultation request is not a confirmed appointment. Aethos reviews requests and sends a separate confirmation, alternative proposal or cancellation. Appointment times use Europe/London, including seasonal clock changes.
Colour Studio and AI
Public palette browsing does not require an account. Private room tools require email verification; codes expire after five minutes, have limited attempts and are stored hashed. Studio access does not grant client portal access. Uploading a room stores a resized, copy with metadata removed privately. For customers, only choosing Generate, with separate processing consent and spending controls approved by the owner enabled, sends that copy to fal and its model infrastructure for image editing. The owner may separately authorise a billed trial using their own room photograph before enabling customer generation. We request image output without provider media storage where supported and save results in private Vercel Blob storage. Provider processing logs, inputs and other copies remain subject to provider policies; deleting a Studio image does not guarantee immediate deletion from provider systems. Ordinary enquiry photos are not sent for AI processing. AI may alter room details; results are inspiration, not specifications. Room photos and their directions expire after the retention period shown in the Studio. An uncertain generation remains reserved for owner review instead of automatically starting another paid request.
Public project stories
Private CRM records and photographs are not automatically published. The owner must create a separate editorial record, attest permission, verify the evidence and approve publication.
Security and your choices
Access controls separate public editorial assets from private project photographs. Enquiry, draft and upload requests use limits recorded in our database; request signals are hashed rather than kept as raw addresses in those counters.
